Here are some things we might request when you use HousingERP:
1. Upon registration:
• Name and contact information (phone, email, etc.);
• Unit Number (Apartment, villa, Shop, office number etc.);
• Ownership or rental status;
• Optional vehicle information.
2. When utilising features like attendance or payments:
• Billing information (so your money goes to the correct place);
• Helper staff information (such as the maid's name or check-in time);
• Communication history (notices, complaints, polls, etc.).
3. When visitors or delivery personnel arrive:
• Name of the guest and the apartment they are visiting;
• Time of check-in photo or phone number (if required by your society) When using the website or app;
• IP address and session logs;
• Device details and browser type;
• Pages viewed and duration of stay.
What we don't gather:
We don't always keep tabs on where you are.
Your messages are not scanned by us.
Without your consent, we are unable to access your phone book.
How We Utilise Your Information (And What We Never Do)
We only use the information you provide to enhance your experience and support the smooth operation of your society. This includes:
• Notifying you when someone comes to visit;
• Assisting you with safe bill payment;
• Permitting you to reserve amenities without incident;
• Providing you with pertinent community services; and
• Creating an intelligent and seamless gate entry system.

• Unsubscribe from notifications such as polls or entries;
• Delete your profile and leave HousingERP
• Send us an email at contact@housingerp.com to request a data wipe.
The right to be forgotten is something we support. We make it simple if you wish to leave.
However, we might need to enquire with your society to see if they have any records that must be kept in order to comply.
How We Keep It Safe Behind the Scenes
Security is the top priority when building HousingERP. Here's how we safeguard your data:
• All data is encrypted both during storage and transmission.
• We don't permit open access to any portion of our infrastructure;
all data is kept on secure servers with multi-factor authentication; and
we conduct routine audits to address any vulnerabilities before they become issues.
In addition, we are actively pursuing ISO 27001 certification and are striving for even greater excellence.
How Much Time We Spend on Your Information
We only retain your information for as long as it's required to support your community or to adhere to legal or tax requirements. This is how that appears:
• Visitor data is automatically erased after 180 days, or earlier if your society mandates it.
• Billing and payment records: Maintained in accordance with audit and finance standards
• When you request deletion from the platform, your profile and communication history are erased.
We only keep what is required and remove what is not; we don't keep backups just in case.
If We Do Share (We'll Always Be Open) We might only share your information in the following situations:
• If mandated by law or a legitimate legal process;
• If we merge, sell, or restructure HousingERP (and even then you'll be informed);
• With the management team of your society for community operations;
• With service providers (such as SMS or payment partners) under strict contracts;
We will always ask your permission before launching any initiative that requires sharing your data with a third party. No buried checkboxes or hidden terms.
